Assistant to CEO

MISSION

Our CEO is looking for an Assistant to carry out a role of business support by attending meetings, following-up on agendas, managing documents and supporting overall Executives, as well as a role of personal affairs, namely: traveling, appointments and arrangements.

ROLE DESCRIPTION

  • Diary management including personal and business meetings, events and appointment coordination;
  • Management of a high-volume travel schedule (itinerary creation, booking of all flights, trains, hire cars, taxis, hotels, visa documentation, medical testing if applicable and vaccinations);
  • Compilationofexpensesandsubmission;
  • Replacement or renewal of government certified documents;
  • Filing of all personal and business documentation;
  • Facilitating and coordinating signing of documents;
  • English translations – language proficiency is key;
  • Coordination of a team of two (Reception) and collaboration with other company departments.

PROFILE

  • Degree in Assistant Management or similar;
  • Minimum of 2 years of work experience (highly valued);
  • Proven written and verbal communication skills (Portuguese and English – mandatory);
  • Proficiency in Microsoft Office, especially Excel and Outlook;
  • Extended availability;
  • Excellent organizational and time-management skills;
  • (Intended to be a brand ambassador, should carry a) Professional attitude and appearance;
  • Capable of interacting with high profile clients, executives and other stakeholders;
  • Multitasking star while paying attention to detail;
  • Relationship and leadership skills. Knows what TEAM really means;
  • Emotional stability and resistance to high levels of stress;
  • Flexibility and ability to work in fast paced environment. Makes work fun;
  • Absolute discretion.
